Office Manager
You will have your finger on the pulse of multiple projects and must be detail-oriented and highly organized. This role will support the smooth operation of Forward Creative by managing business administration, project intake, and executive support tasks that align with our company’s vision and values. The ideal candidate is a proactive team player with exceptional communication skills, advanced technical writing abilities, and a passion for operational excellence.
Key Responsibilities:
Business Operations and Administration:
- Manage project intake processes, ensuring all required information is collected and organized efficiently.
- Maintain and organize company files, records, and databases to support seamless operations.
- Approve payroll and coordinate with the finance team to manage billing and expenses.
- Facilitate communication with accountants, lawyers, and other external partners.
- Oversee company calendars and schedules to ensure efficient time management for executives and project deadlines.
- Respond to executive-level correspondence, including managing emails and client communications.
Technical Writing and Proposals:
- Lead the preparation and submission of proposals, RFPs, and other high-quality business documents.
- Research and write grant applications to secure funding opportunities.
- Develop polished, detail-oriented content with a high degree of technical accuracy.
Office Management and Coordination:
- Oversee day-to-day office management tasks, ensuring the company operates efficiently.
- Serve as the primary point of contact for administrative inquiries and client requests.
- Work closely with team members to ensure deliverables are on track and aligned with Forward Creative’s standards.
Professionalism and Agility:
- Be a self-starter with the ability to manage multiple priorities and deadlines effectively.
- Build and maintain strong relationships with clients, team members, and external stakeholders.
- Adapt to evolving challenges with a problem-solving mindset and a commitment to excellence.
Your Skills and Experience:
- Proven experience in an executive assistant, office manager, or similar role, ideally in a fast-paced environment.
- Exceptional organizational skills and attention to detail, with the ability to manage complex tasks and projects.
- Advanced technical writing skills, with experience drafting proposals, grants, and other business documents.
- Strong knowledge of office management systems and tools (e.g., Google Workspace, project management platforms).
