Payroll Administrator

St Francis Xavier University, offering Canada’s premier undergraduate university experience, is seeking a Payroll Administrator to join the Human Resources team. This is a permanent full-time position reporting to the Manager, Payroll, Benefits and Pension. The Payroll Administrator is an integral part of the HR team responsible for the delivery of the University’s payroll and benefits program. As part of a dynamic team, the Payroll Administrator must be able to deliver excellent customer service, with the upmost attention to detail while meeting tight deadlines.

The position is a full time, permanent position at 37.5 hours/week. The position is in Salary Band C with a range of $44,831-54,776. The compensation package includes full benefits and pension.

Key Responsibilities:

  • Process bi-weekly payroll/benefits ensuring accuracy and timeliness.
  • Responds to inquiries in a timely and accurate manner and builds strong positive relationships with internal and external clients.
  • Training and support of employees using various self-serve technology.
  • Manage data and reporting within the HR Information System (ADP).
  • Ensures new hires, leave requests, and terminations are approved and reflected accurately in corresponding documentation.
  • Ensures adherence to governing legislation and regulations, best practices, University policies, collective agreements and strict deadlines.
  • Meet year-end deadlines for production of T4’s and other tax forms, balance statutory deductions to CRA and investigate/correct any discrepancies.
  • Prepare monthly remittances, reports and premiums for university benefit programs to insurers and balance accounts on a monthly and year end basis.
  • Calculate annual salary increases and retroactive payments as required.
  • Produces Records of Employment in accordance with Service Canada regulations.


  • Relevant post-secondary education (diploma or university degree).
  • Ability to combine speed and accuracy in order to meet deadlines.
  • Ability to work independently and prioritize workload. Strong understanding and commitment to confidentiality.
  • Delivers the highest quality service, anticipates needs and has a reputation for responsiveness.
  • Successful user of technology for process and service delivery improvements.
  • Proficient in MS office software particularly MS Excel.
  • Previous experience in payroll and benefits considered an asset.
  • Payroll, benefits, or HR designation considered assets.
